FLEX Help Center Privacy Policy

This FLEX Help Center Privacy Policy (the “Privacy Policy”) describes the privacy policy and practices followed by Computer Marketing Corporation (“CMC,” “FLEX,” “we,” “us,” or “our”) governing the security and confidentiality of Clients’ data while using the FLEX Help Center (or “Service”). This Privacy Policy is only effective regarding the usage of the Service and assumes that the Client accessing the FLEX Help Center has read and agreed to this Privacy Policy in addition to the official CMC Privacy Policy available on the FLEX Website and located here. Unless otherwise defined in this privacy policy, capitalized terms can be found in the definitions section of this document.

Definitions

Clients refers to credit unions that are licensees of CMC software products such as the FLEX System and who have access to the FLEX Help Center.

Client Data refers to information, data, content, and other materials submitted, posted, uploaded, or otherwise transmitted by or on behalf of a Client through the FLEX Help Center.

Member Data refers to personally identifiable information (including, but not limited to payment card industry information) about or of the members of CMC’s Clients and that is disclosed by such Clients to CMC.

FLEX Website (or “Website”) refers to the official FLEX Website available to the general public located at https://flexcutech.com.

FLEX Help Center (or “Client Support Portal”) refers to the client support portal and knowledge center located at https://help.flexcutech.com.

Usage Data refers to data collected automatically from your use of the Client Support Portal such as technical logs, page usage, device information, and diagnostics.

AI-Powered Chatbot (or “LEXi”) refers to the AI agent powered by the third-party software Outlearn on the FLEX Help Center. Clients can receive assistance from LEXi by asking questions via text input.

Cookies refer to small text files placed on your computer to collect standard Internet log information and visitor behavior information. For further information, visit allaboutcookies.org.

What data do we collect?

Automatically

(a) Usage Data such as IP address, browser type and version, device identifiers, operating system, pages visited, referring URLs, timestamps, and diagnostic data.

(b) Cookies and similar technology data used to operate features such as the AI-Powered Chatbot, remembered preferences, security support, and performance improvements.

(c) Log and security information used to detect abuse, investigate incidents, troubleshoot issues, and protect the Service.

Provided by Client

(a) Account and contact details, such as full name, work email address, credit union name, and login credentials.

(b) Communications and support information, such as messages you send to us, support requests, feedback, and responses to surveys or outreach.

(c) Content submitted through the Client Support Portal, including files, prompts, responses, comments, and other Client Data uploaded to or generated by usage of the Service.

(d) AI interaction data including conversations, questions, and responses between the Client and LEXi.

Member Data

CMC does not collect Member Data from members or other individuals, but Clients may disclose Member Data to CMC through the FLEX Help Center for legitimate purposes. For example, Member Data may be provided or uploaded by Clients for storage or processing on or by CMC servers or equipment.

Authentication credentials

All Clients must create a login to access the Client Support Portal. There are two methods of signing-up, (a) email and password via Firebase Authentication and (b) Google Sign-In.

Email and password credentials via Firebase Authentication

During the initial creation of an account, the following information is obtained:

  • Full name
  • Work email address
  • Password

Google Sign-In credentials

During the initial creation of an account, the following information is obtained from your Google account:

  • Full name
  • Work email address
  • Password
  • Profile picture
  • Unique account identifier from your Google account

How will we use your data?

CMC will use the data gathered through the FLEX Help Center to

  • authenticate Clients using the site
  • communicate with Clients regarding system changes and support matters
  • respond to support requests and provide customer service through AI-Powered Chatbot or human support agents
  • monitor usage patterns and troubleshoot technical issues
  • improve, update, and further develop the Client Support Portal and available information and services
  • provide analytics and search data
  • send newsletters and other marketing communications if opted-in
  • comply with legal obligations and enforce our terms of service

How will we store your data?

CMC stores the data retrieved through the FLEX Help Center securely using Firebase, Firebase Firestore, Helpjuice, and Outlearn. Refer to the official CMC Privacy Policy for more information on where your data is stored in regards to CMC’s secure servers and facilities.

How do we use cookies?

CMC uses cookies to recognize you on our website and remember your previously selected preferences. These could include what language you prefer and location you are in. A mix of first-party and third-party cookies are used.

How to opt-out of cookie usage?

You can set your browser not to accept cookies and remove any existing cookies if you wish. However, in a few cases, some of our website features may not function as a result.

Third-party services and data sharing

We rely on the following third-party services to operate the Service. Each service may collect and process your data according to its own privacy policy.

Helpjuice

The FLEX Help Center is hosted on the Helpjuice platform. Helpjuice may collect usage and analytics data related to your visits. For details, see the Helpjuice Privacy Policy here.

Firebase (Google Cloud)

We use Firebase Firestore to store user data and Firebase Authentication (including Google Sign-In) to manage sign-in. Google processes this data under the Google Cloud terms of service. For details, see the Google Privacy Policy here and the Firebase Data Processing Terms here.

Outlearn AI Agent

We use the Outlearn AI agent to provide automated assistance. Your interactions with the AI agent, including the content of your queries and the responses generated, may be collected and processed by Outlearn. For details, see the Outlearn Privacy Policy here.

Google Groups

Our discussion forum is powered by Google Groups. When you participate, Google collects and processes your information in accordance with the Google Privacy Policy. For details, see the Google Privacy Policy here.

HubSpot

We use HubSpot for live chat support and ticket management. Information you provide through chat or ticket forms is processed by HubSpot. For details, see the HubSpot Privacy Policy here.

CMC does not sell your personal information to third parties. We may share information with service providers only as necessary to operate the Service, or as required by law.

Changes to the Privacy Policy

CMC may, in its sole discretion, change this Privacy Policy from time to time. Any changes or revisions to the Privacy Policy will be posted on the Website or notice thereof will be given by email or other correspondence to Clients. Unless CMC obtains the consent of a Client, any revised Privacy Policy will apply only to Client Data disclosed to CMC after such time as the revised Privacy Policy takes effect, and not to Client Data disclosed under any earlier Privacy Policies. CMC encourages Clients to frequently check the website for any changes to its Privacy Policy.

Privacy policy revisions

CMC keeps its privacy policy under regular review and places any updates on the Website. This Privacy Policy was last updated 07/01/2026.
