This document provides technical guidance for configuring and managing ACH Origination Control Parameters within the FLEX system. These parameters govern the behavior and limitations of ACH origination processes, ensuring compliance and operational efficiency.

Location

The ACH Origination Control Parameters are accessible through the FLEX Main Menu:

General Parameters

The General Parameters section defines core settings for ACH origination processing.

Identification & Routing

  • Immediate Destin & Filler & DFI:
    • Purpose: Identifies the immediate destination institution for the ACH Origination file.
    • Configuration: Enter the institution’s name and its routing number.
    • Common Use: Typically set to “corporate” or “FLEX.”
  • Immediate Origin & Filler & DFI:
    • Purpose: Identifies the institution from which the ACH Origination file is sent.
    • Configuration: Enter the Credit Union’s name and its routing number.
    • Common Use: Typically set to the Credit Union Name / Credit Union Routing Number.

Financial & Fee Management

  • GL Offset / Fee Offset / Fee Amount:
    • Purpose: Configures the general ledger accounts affected by transaction postings and fee postings, along with the fee amount per origination.
    • Configuration:
      • Enter the General Ledger (GL) account number for transaction postings.
      • Enter the GL account number for fee postings.
      • Specify the fee amount to be posted with each origination.
  • Default Fee Suffix:
    • Purpose: Sets a default suffix for fees when the transaction being credited is a loan payment.
    • Configuration: Enter the desired default suffix.
  • Credit Union Abbreviation:
    • Purpose: Displays the 3-digit abbreviation for the Credit Union.
    • Note: This field is typically display-only.

System Tracking & Processing Defaults

  • Last Trace Number:
    • Purpose: Displays the last trace number utilized by the system.
    • Note: This field is display-only and updated automatically by FLEX.
  • Last Batch Number:
    • Purpose: Displays the last batch number utilized by the system.
    • Note: This field is display-only and updated automatically by FLEX.
  • Use A6NDAT to Advance Dt for E/C Freq:
    • Purpose: Reserved for system use.
    • Configuration: Leave this field blank.
  • Days to Collect Before Loan Due Date:
    • Purpose: Specifies how many days prior to the loan due date an ACH Origination payment should be collected to prevent delinquency.
    • Configuration: Enter the number of days.
  • Show Pending as Exception:
    • Purpose: Determines whether pending ACH Origination items appear on the Exception Listing.
    • Configuration: Select “Yes” or “No.”
  • Show Account # on GTDESC for Fee Posting:
    • Purpose: Controls whether the account number is displayed on the GL Transaction Description for fee postings.
    • Configuration: Select “Yes” or “No.”
  • Normal Day Advance Code:
    • Purpose: Defines how the system advances the next processing date or effective date if it falls on a non-business day.
    • Options:
      • P: Prior business day
      • N: Next business day
  • Effective Date or Processing Date:
    • Purpose: Specifies whether the effective date or processing date should be used for ACH origination.
    • Default: Processing Date.
  • Days to Hold for Credit 22/32:
    • Purpose: Sets the number of days to hold credit items (Transaction Codes 22/32) before posting.
    • Configuration: Enter the number of days.
  • Include Debits as Reg D Items:
    • Purpose: Indicates whether debit items should be classified as Regulation D transactions.
    • Configuration: Select “Yes” or “No.”
  • Same Day Processing:
    • Purpose: Enables or disables same-day processing for ACH originations.
    • Configuration: Select “Y” for Yes, or leave blank for No.
  • Same Processing Fee:
    • Purpose: Specifies a fee amount for same-day processing.
    • Configuration: Enter the fee amount, if applicable.

Transmission Defaults

This section defines default settings for the transmission of ACH files. These settings can often be overridden during the actual transmission process.

  • Build New File:
    • Purpose: Determines whether a new ACH Origination file should be built. This file includes all items with a Pre-Note Date or Next Processing Date equal to or before the current date.
    • Behavior: Building a new file clears any old, untransmitted data.
    • Default: This is a default option that can be changed during transmission.
  • Send New File:
    • Purpose: Indicates whether the newly built file should be transmitted to the ACH processor for upload.
    • Default: This is a default option that can be changed during transmission.
  • Post Pending Originations:
    • Purpose: Controls whether pending originations are posted at the time a new origination file is built.
    • Default: This is a default option that can be changed during transmission.

File Creation Information

This section provides read-only information about the last ACH file creation.

  • Last File Build Date:
    • Purpose: Displays the date the last ACH file was built by FLEX.
    • Note: This field is updated automatically by FLEX.
  • Last File Total Amount:
    • Purpose: Displays the total transaction amount of the last built ACH file.
    • Note: This field is updated automatically by FLEX.

Internet Banking Parameters

These parameters are specifically used when members generate ACH Originations through Mobićint (Internet Banking).

  • GL Offset:
    • Purpose: Specifies the general ledger account number used for verification amounts related to Internet Banking ACH originations.
    • Configuration: Enter the GL account number.
  • Same Day Processing (Y/N):
      • Purpose: Indicates whether same-day processing is enabled for member-generated ACH originations.
      • Configuration: Select “Y” for Yes, “N” for No.
  • Same Day Processing Fee:
    • Purpose: Specifies the fee amount for same-day processing of member-generated ACH originations.
    • Configuration: Enter the fee amount, if applicable.
  • Cutoff Time:
    • Purpose: Defines the cutoff time for online ACH Originations.
    • Configuration: Enter the time in EST Military format (e.g., 15:00 for 3:00 PM).
  • Set Up Fee:
    • Purpose: Specifies a fee to be charged when a new ACH Origination is created by a member, if applicable.
    • Configuration: Enter the fee amount.

Transaction Code Specific Fees

These parameters define fees for member-generated ACH Originations based on the transaction code used.

  • 22 Tran. Code Fee:
    • Purpose: Fee for Transaction Code 22 (deposit for checking/share draft accounts, credit).
    • Configuration: Enter the fee amount.
  • 27 Tran. Code Fee:
    • Purpose: Fee for Transaction Code 27 (payment for checking/share draft accounts, debit).
    • Configuration: Enter the fee amount.
  • 32 Tran. Code Fee:
    • Purpose: Fee for Transaction Code 32 (deposit for savings accounts, credit).
    • Configuration: Enter the fee amount.
  • 37 Tran. Code Fee:
    • Purpose: Fee for Transaction Code 37 (payment for savings accounts, debit).
    • Configuration: Enter the fee amount.
  • 52 Tran. Code Fee:
    • Purpose: Fee for Transaction Code 52 (loan account, credit).
    • Configuration: Enter the fee amount.

Debit Holding & Limits

  • Days to Hold DEBITS:
    • Purpose: Specifies the number of days to hold any debit transaction before processing.
    • Tiered Configuration: This parameter supports up to three tiers, allowing different hold periods based on amount.
      • Tier 1: [Number] Days [Amount]
      • Tier 2: [Number] Days [Amount]
      • Tier 3: [Number] Days [Amount]
  • Allow Transaction after # of Days Open:
    • Purpose: Defines the minimum number of days an account must be open before member-generated ACH Origination can be utilized.
    • Configuration: Enter the number of days.
  • Credit Limit Per Transaction (22/32):
    • Purpose: Sets a maximum credit amount per transaction when using Transaction Code 22 or 32 (credit at another financial institution).
    • Configuration: Enter the credit limit amount.
  • Debit Limit Per Transaction (27/37):
    • Purpose: Sets a maximum debit amount per transaction when using Transaction Code 27 or 37 (debit at another financial institution).
    • Configuration: Enter the debit limit amount.
  • Debit Limit Per Day (27/37):
    • Purpose: Sets a maximum total debit amount per day when using Transaction Code 27 or 37 (debit at another financial institution).
    • Configuration: Enter the daily debit limit amount.

Miscellaneous Internet Banking Parameters

  • Individual ID Description:
    • Purpose: Allows for an individual ID description to be indicated, if applicable.
    • Configuration: Enter the description.
  • Allow External Loan (Y/N):
    • Purpose: Indicates whether an external loan will be allowed in member-generated ACH originations.
    • Note: This feature is currently in programming.
