This document provides technical guidance on configuring workflows within the FLEX system, enabling users to customize the sequence of screens for various processes.

1. Overview of Workflow Configuration

Workflow Configuration allows the definition of a specific screen order for the following processes:

  • Loan Processing
  • Opening New Accounts
  • Opening New Share Accounts
  • Opening New Certificates

This feature enhances efficiency by guiding users through predefined steps tailored to specific account or loan types.

2. Accessing Workflow Configuration

To access the Workflow Configuration interface:

  • Navigate to the FLEX Main Menu.
  • Select System Administration.
  • Choose Workflow Configuration.

3. General Workflow Setup

A general workflow can be established to apply a standard sequence of steps across all relevant transactions unless a more specific class-based workflow is defined.

4. Class-Based Workflows

For more granular control, specific workflows can be created based on available codes (e.g., account types, loan types). This allows for different step sequences depending on the characteristics of the transaction.

4.1. Creating a New Workflow Class

To define a new workflow class:

  1. From the Workflow Configuration screen, click the Maintain Classes button.
  2. In the “Add Workflow Class” dialog:
    • Workflow: Select the desired workflow type from the dropdown (e.g., “Open New Account”).
    • Class Name: Enter a 3-digit code for the new class (e.g., “BUS” for Business).
    • Description: Provide a descriptive name for the class (e.g., “Business Workflow”).
  3. Available Codes / Selected Codes:
    • From the “Available Codes” list, select the codes that this workflow class should apply to.
    • Use the arrow buttons to move the selected codes to the “Selected Codes” list.
      • Example: For a “Business Workflow,” move the “B – Business” code to “Selected Codes.”
  4. Click Save to create the new class.

4.2. Configuring a Class-Specific Workflow

Once a class has been added:

  1. On the main Workflow Configuration screen, select the desired Workflow from the dropdown.
  2. Select the relevant Class from the dropdown (e.g., “Open New Account” and “BUS”).
  3. Available Steps: This panel displays all steps that can be included in the workflow.
  4. Workflow (Drag and Drop to Order): This panel shows the steps currently configured for the selected workflow and class.
    • Adding Steps: Drag and drop steps from the “Available Steps” panel to the “Workflow (Drag and Drop to Order)” panel.
    • Reordering Steps: Drag and drop existing steps within the “Workflow (Drag and Drop to Order)” panel to change their sequence.
      • Example: For an “Open New Account” workflow with “Account Type B” (Business), only the steps defined in this specific workflow will be followed.
  5. Click Save to apply the changes to the workflow configuration.

6. Actions on Workflow Configuration Screen

The Workflow Configuration screen includes several action buttons:

  • Save: Saves all changes made to the workflow configuration.
  • Refresh: Reloads the current workflow configuration, discarding unsaved changes.
  • Restore Defaults: Resets the workflow configuration to its default settings.
  • Maintain Classes: Opens the dialog to add or manage workflow classes.
