Print Preview

The Print Preview feature in the FLEX system allows users to review reports before sending them to a printer. This functionality provides an opportunity to verify report content and formatting, reducing errors and wasted resources.

1. Accessing Print Preview

Print Preview can be accessed in two primary ways:

  • Toggle Icon: Click the Print Preview icon located at the top of the FLEX screen to toggle the feature on or off.
  • FLEX Main Menu: Select Print Preview from the FLEX Main Menu. This method also allows access to previously stored reports.

2. Print Preview Modes

The behavior of reports is determined by the Print Preview setting:

  • Print Preview ON:
    • Reports generated will be displayed on the user’s screen for preview.
    • The option to print the report will be presented to the user.
  • Print Preview OFF:
    • All reports will be sent directly to the configured printer without on-screen preview.

Print Preview can be found under the following sections in the FLEX Main Menu:

  • Operations
  • System Administration

4. Print Preview Screen Overview

When Print Preview is enabled and a report is processed, the Print Preview screen will appear, divided into two main tabs:

4.1. Current Entries Tab

This tab displays the report that has just been processed.

  • Report Details: The following information is provided for each report:
    • Work Station: The workstation from which the report was processed.
    • Name: The name of the report.
    • Pages: The total number of pages in the report.
    • Date: The date the report was processed.
    • Time: The time the report was processed.
  • Current Document Pane:
    • To preview a document, highlight the desired report in the Current Entries tab. The content of the report will then be displayed in the bottom pane of the screen.
    • Navigation Controls:
      • First: Directs to the first page of the document.
      • Previous: Directs to the previous page of the document displayed.
      • Next: Directs to the next page in the document.
      • Last: Directs to the last page in the document.
    • Action Buttons:
      • Open: Opens the document in PDF format.
      • Print: Sends the document to the printer.
      • Archive: Sends the document to the Document Manager. If a report is not explicitly archived, it will be automatically deleted.
      • Delete: Removes and permanently deletes the document. The document will not be archived to the Document Manager.

4.2. Previous Entries Tab

This tab stores reports that have been sent to Print Preview.

  • Retention Policy: Reports remain in the Previous Entries tab until the “End of Day” process is run, unless they are manually deleted beforehand.
  • Report Details: Similar to the Current Entries tab, this tab also displays:
    • Work Station
    • Name
    • Pages
    • Date
    • Time
