This document provides technical guidance for users on how to effectively manage and maintain the holiday calendar within the FLEX system, specifically for credit unions utilizing unattended End-of-Period (EOP) processing.

1. Overview

The “Maintain Holiday List” function is crucial for credit unions that rely on automated EOP processing. A current and accurate holiday calendar ensures that system operations are correctly aligned with the credit union’s closure dates.

2. Accessing Maintain Holiday List

To access the “Maintain Holiday List” feature:

  • Navigate to the FLEX Main Menu.
  • Select System Administration.
  • Locate and select Maintain Holiday List.

3. Understanding the Display Screen

Upon accessing the “Maintain Holiday List” screen (HD1000S), users will observe the following key sections:

  • Holiday Dates / Open Days:
    • This section, located in the top portion of the screen, displays all holiday dates on which the credit union will be closed.
    • Information presented includes:
      • Date
      • Day of Week
      • Description
  • Week Days Open/Closed:
    • This area indicates which specific days of the week the credit union is marked as closed.
    • It lists each day of the week (Sunday through Saturday).
  • Options:
    • The “Opt” column provides options for managing existing holiday entries:
      • C = Copy
      • D = Delete
      • S = Select

4. Adding a Holiday

To add a new holiday date to the system:

  1. From the “Maintain Holiday List” screen, press F6. This action will prepare the system for a new entry.
  2. In the “ADD” section, you will see fields for “DATE” and “DESCRIPTION”.
  3. DATE: Enter the specific holiday date (e.g., 12/25/2019).
  4. DESCRIPTION: Enter a brief, associated description for the holiday (e.g., CHRISTMAS).
  5. Press Enter to confirm and add the holiday to the system.

5. Marking Closed Days of the Week

To specify which days of the week the credit union is closed:

  1. Navigate to the “Week Days Open/Closed” section on the screen.
  2. For each day the credit union will be closed, place a “C” next to the corresponding day of the week.
    • Example: To mark Sunday as closed, enter C next to “Sunday.”
  3. After marking all applicable days, press Enter to update the calendar.
