Overview

The Frozen Account List Configuration feature in the FLEX system provides a standardized method for users to select predefined reasons when freezing an account. This ensures uniformity in data input across various maintenance modules and prevents the entry of incorrect information.

Location

The Frozen Account List Configuration is accessible within the FLEX Main Menu under:

  • System Administration
    • General Configuration
      • Frozen Account List Configuration

Functionality

This configuration allows administrators to:

  • Create new frozen account reason codes.
  • Edit existing frozen account reason codes.
  • Delete existing frozen account reason codes.

Once configured, these reason codes become available as a drop-down selection in the following maintenance modules when an account’s frozen status is changed from blank:

  • Address Maintenance
  • Share Maintenance
  • Certificate Maintenance
  • Loan Maintenance

Managing Frozen Account List Items

The “Frozen Account List Configuration” screen displays all currently set up frozen account items.

Adding a New List Item

To add a new frozen reason code:

  1. Click the Add button on the “Frozen Account List Configuration” screen.
  2. The “Add List Item” dialog box will appear.
  3. Enter the following details:
    • Code: A single-digit code assigned to the frozen reason.
    • Short Description: A concise description for the frozen reason.
    • Long Description: A more detailed description for the frozen reason.
    • Display Location: Select the specific maintenance module(s) where this frozen reason should be available from the drop-down list. Options include:
      • All Locations
      • Address Maintenance
      • Share Maintenance
      • Certificate Maintenance
      • Loan Maintenance
  4. Click OK to save the new list item.

Editing an Existing List Item

To edit an existing frozen reason code:

  1. Highlight the desired reason code from the list on the “Frozen Account List Configuration” screen.
  2. Click the Edit button.
  3. The “Edit List Item” dialog box (similar to “Add List Item”) will appear, pre-populated with the existing details.
  4. Modify the necessary fields.
  5. Click OK to save the changes.

Deleting a List Item

To delete a frozen reason code:

  1. Highlight the desired reason code from the list on the “Frozen Account List Configuration” screen.
  2. Click the Delete button.
  3. Confirm the deletion when prompted.

Frozen Account Status and History

When an account’s frozen status is changed to anything other than blank, a drop-down box for “Frozen Reason” becomes available.

Fields

  • Frozen Status: Select the current frozen status of the account.
  • Frozen Reason: Select the appropriate frozen reason code from the predefined list created in the “Frozen Account List Configuration.”
  • Frozen Date: Automatically indicates the date the account was placed in frozen status.
  • History: Displays a historical record of the account’s frozen statuses, including:
    • Type (e.g., Account)
    • Suffix
    • Reason (e.g., COLL (Collections Member))
    • Date
    • Active (indicated by a checkbox)
