This document outlines the configuration and behavior of Employee Flagged Accounts within the FLEX system, focusing on security settings and access limitations for tellers and account holders.

I. Overview of Employee Flagged Accounts

Employee Flagged Accounts are designed to enhance security and confidentiality for employee accounts within the FLEX Credit Union system. Key characteristics include:

  • Limited Inquiry Access: Account holders and management can restrict inquiries on balances and history.
  • Transaction Allowance: While inquiries can be blocked, another teller can still perform transactions on an employee flagged account.
  • Self-Transaction Restriction: Tellers are restricted from performing transactions on their own employee flagged accounts.

This documentation focuses on the fields and items related to setting up security on these accounts. For comprehensive details on additional fields, please refer to the full FLEX documentation.

II. Configuration Steps

Setting up security for Employee Flagged Accounts involves configurations across three main areas:

  1. Miscellaneous Information Maintenance
  2. Teller Configuration
  3. Address Maintenance

A. Miscellaneous Information Maintenance

This section configures system-wide settings related to employee flagged accounts.

Navigation:

System Administration > General Configuration > FLEX Main Menu > Miscellaneous Information

Key Fields:

  • Display Balance in TE Juice Only:
    • N (No): Employee flagged accounts will not display balance information in Transaction Entry (TE) for users unauthorized to view employee accounts or tellers not specifically linked to the account.
    • Y (Yes): All employee flagged account balances will show in Transaction Entry.
  • EMPLOY Code for Auto Updating:
    • This field defines the code used to flag an entity as a Credit Union Employee.
    • During the End of Day (EOD) process, FLEX will automatically update accounts that are:
      • Blank
      • ‘N’
      • The specific code entered in this field.
    • Example: If ‘Y’ is entered, the system will only update accounts flagged as ‘Y’ (e.g., Credit Union Employee accounts) and ignore other codes like ‘B’ (Board Members) or ‘F’ (Family Members).

B. Teller Configuration

This section defines individual teller permissions and restrictions for accessing and transacting on accounts, including employee flagged accounts.

Edit Teller > Security Tab

Key Fields (within Teller Security Settings):

  • Allow Inquiry On Employee Flagged Accounts:
    • Determines whether a specific teller has access to balance and history information on employee flagged accounts.
    • Yes: Allows inquiry.
    • No: Restricts inquiry.
  • Override Inquiry Security in Loan Processing:
    • Determines if a teller is allowed to access Loan Processing for an employee flagged account, even if their “Allow Inquiry On Employee Flagged Accounts” is set to ‘No’.
    • Yes: Allows override.
    • No: Prevents override.
  • Accounts Excluded From Tran Entry and Maintenance:
    • Accounts listed in this table will prevent the teller from performing any transactions or maintenance.
    • The teller will still be able to view balance and history information in Transaction Entry/Inquiry for these accounts.
    • Common Use Case: Tellers’ own account numbers are often listed here, allowing them to view their account but not transact on it.
  • Teller SSN:
    • The teller’s Social Security Number can be entered here.
    • This allows the system to automatically flag any accounts associated with this SSN as an employee account.
    • The End of Day process uses this SSN in conjunction with the indicator code in Miscellaneous Configuration to automatically flag accounts as employee accounts.
  • Accounts Excluded From Inquiry:
    • Accounts listed in this table will exclude a teller from performing inquiries.
    • Important Note: This field is not used in conjunction with employee flagged accounts and will not hide balances on employee flagged accounts in Transaction Entry/Inquiry.

C. Address Maintenance

This is the final step to explicitly flag an account as an Employee Flagged Account.

Navigation:

Address Maintenance > Miscellaneous Tab

Key Field:

  • Credit Union Employee:
    • Used to flag an entity as a Credit Union Employee Account.
    • Credit Unions can also use this field for other classifications, such as:
      • Family members
      • Board/supervisory committee members
    • ‘N’ or Blank: Assumes the account is a non-employee account, and balances and history will be displayed in Transaction Entry/Inquiry.
    • Anything other than ‘N’ or Blank (e.g., ‘Y’, ‘F’ for family, ‘B’ for board member): The FLEX system will interpret these as ‘Yes’, making the account subject to employee flagged account securities.
    • Note: This field is tied to the entity record, not the account number.
    • Caution: If the auto-update option is in use (configured in Miscellaneous Information Maintenance), credit unions should not use this field for board members or family members, as it may lead to unintended flagging.

III. Transaction Entry/Inquiry Behavior

The behavior of employee flagged accounts in Transaction Entry/Inquiry varies based on teller permissions:

  • For Tellers NOT Linked to the Account:
    • Balances will display as “UNAUTHORIZED”.
    • While balances and document viewing may be restricted, these tellers will still be able to perform transactions on the account.
  • For Tellers Linked to the Account (via “Accounts Excluded from Tran Entry and Maintenance”):
    • These tellers will be able to view balances.
    • However, they will not be allowed to perform transactions on the account.
