This document outlines the process for configuring Courtesy Pay Opt Out Reason Codes within the FLEX system. These reason codes are utilized when Courtesy Pay is set to ‘No’ in Share Maintenance, providing a standardized list of reasons for opting out.

1. Overview

The Courtesy Pay Opt Out List Configuration allows FLEX system administrators to define and manage a list of specific reasons why a member might opt out of Courtesy Pay. This configuration is essential for maintaining accurate records and ensuring compliance.

2. Accessing the Configuration

To access the Courtesy Pay Opt Out List Configuration:

  • Navigate to the FLEX Main Menu.
  • Select System Administration.
  • Expand the General Configuration section.
  • Click on Courtesy Pay Opt Out List Configuration.

3. Managing Opt Out Reason Codes

The “Courtesy Pay Opt Out List Configuration” screen displays a list of existing reason codes. From this screen, you can add, edit, or delete reason codes.

3.1. Adding a New Reason Code

To add a new Courtesy Pay Opt Out Reason Code:

  1. On the “Courtesy Pay Opt Out List Configuration” screen, click the Add button.
  2. The “Add List Item” dialog box will appear.
  3. Enter the following information:
    • Code: A one-digit code for the reason (e.g., “F” for Frozen Account, “T” for Test).
    • Short Description: A brief description of the reason (e.g., “FROZEN”, “TEST”).
    • Long Description: A more detailed description of the reason (e.g., “Frozen Account”, “Test Description”).
  4. Click Save (or an equivalent button, not explicitly shown but implied for saving new entries).

3.2. Editing an Existing Reason Code

To modify an existing Courtesy Pay Opt Out Reason Code:

  1. On the “Courtesy Pay Opt Out List Configuration” screen, highlight the reason code you wish to edit from the “List Items” table.
  2. Click the Edit button.
  3. The “Edit List Item” dialog box (similar to “Add List Item”) will appear, pre-populated with the selected reason code’s details.
  4. Make the necessary changes to the Code, Short Description, or Long Description fields.
  5. Click Save to apply your changes.

3.3. Deleting a Reason Code

To remove a Courtesy Pay Opt Out Reason Code:

  1. On the “Courtesy Pay Opt Out List Configuration” screen, highlight the reason code you wish to delete from the “List Items” table.
  2. Click the Delete button.
  3. Confirm the deletion when prompted (if a confirmation dialog appears, which is standard practice).

4. Applying Opt Out Reason Codes in Share Maintenance

Once Courtesy Pay Opt Out Reason Codes are configured, they become available for selection within Share Maintenance.

  • In Share Maintenance, when Courtesy Pay is set to No, the Courtesy Pay Opt Out Reason Code drop-down menu will become active.
  • Users can then select the appropriate reason code from the predefined list (e.g., “F-FROZEN (Frozen Account)”, “T-TEST (Test Description)”).

This selection ensures that the system accurately records the reason for a member opting out of Courtesy Pay.
