This document provides technical guidance for configuring the Card Advances module within the FLEX system. Card Advances is a purchasable module that enables credit unions to process credit card payments directly through FLEX.

1. Module Activation and Workstation Setup

Before configuring Card Advances, ensure the module has been activated for your institution. For pricing and activation, contact your Sales Representative.

Once activated, Card Advances must be enabled on each workstation where it will be used:

  • Navigate to Preferences.
  • Select Card Advances.
  • Check the “Use Card Advances at Workstation” option.

2. Accessing Card Advances Configuration

The primary configuration for Card Advances is performed in the System Administration area:

  • From the FLEX Main Menu, go to System Administration.
  • Select General Configuration.
  • Choose Card Advances Configuration.

This section allows you to input necessary configuration information provided by your card advance processor.

3. Processor-Specific Configurations

The Card Advances Configuration screen includes sections for different payment processors. This documentation details the configurations for Worldpay and Beyond Payments.

3.1. Worldpay Configuration

To configure Card Advances for Worldpay:

  • Select the Worldpay tab.
  • Check “Use Worldpay”.
  • Enter the following details:
    • Account ID: (e.g., TEST)
    • Account Sub ID: (e.g., TEST)
    • Merchant PIN: (e.g., 9999)

3.2. Beyond Payments Configuration

To configure Card Advances for Beyond Payments:

  • Select the Beyond Payments tab.
  • Check “Use Beyond Payments”.
  • Enter the following details:
    • Account ID Card Present: (e.g., TEST)
    • Account Sub ID Card Present: (e.g., TEST)
    • Merchant PIN Card Present: (e.g., TEST)
    • Account ID Card NOT Present: (e.g., TEST)
    • Account Sub ID Card NOT Present: (e.g., TEST)
    • Merchant PIN Card NOT Present: (e.g., 9999)

4. OP Code Configuration for Card Advances

Card Advances transactions utilize a specific OP Code that must be set up and flagged for Card Advance. If your institution charges fees for card advances, these fees can also be configured within the OP Code.

4.1. General OP Code Settings

When creating or editing an OP Code for Card Advances (e.g., CARD ADVANCE):

  • OP Code Description: CARD ADVANCE
  • OP Code GL Offset Account: 1080205
  • OP Code GL Offset Branch Code: As-is

4.2. Check/Money Order Forms (if applicable)

  • Bank Number:
  • Print Program Name:
  • Printer Number:
  • Check Sequence Number: 0
  • Output Check Info to Check Register: (Checkbox)
  • Payee Default: Default to Member, Do Not Require Payee

4.3. Miscellaneous Settings

  • Max Amount Allowed: 0.00
  • User Defined Type:
  • Accumulate Total Account OP Code Use: (Checkbox)
  • Cash Sales Amount: 0.00
  • Cash Sales: (Checkbox)
  • Inventory Items: (Checkbox)
  • Third Party Card Payment: (Checkbox)
  • Produce GL Receipt: (Checkbox)
  • Use Tran Entry Description on GL Offset: (Checkbox)
  • Allow Custom Description: (Checkbox)
  • Change Last Transaction Date: (Checkbox)
  • Card Advance: Select Yes – Card Present from the dropdown.

4.4. Fee Configuration (within OP Code)

If fees are charged for card advances, configure them in the “Fees” section of the OP Code:

  • Fee Description: Card Advance Fee
  • Fee Type: (Dropdown)

4.5. Transaction Codes

  • Valid Tran Codes: 16, 12

5. Saving Configurations

After making any changes in the Card Advances Configuration or OP Code settings, always click the Save button to apply your changes. The Refresh button can be used to reload the current configuration.
