TrueChecks
This document provides technical information on configuring and using TrueChecks within the FLEX system.
1. TrueChecks Overview
- TrueChecks is a real-time fraud prevention system integrated with FLEX Check 21 Teller Capture1.
- It verifies scanned checks against the TrueChecks database, providing real-time notifications and suggestions regarding potential fraud2.
2. TrueChecks Configuration
- To configure TrueChecks, an API key must be entered once a relationship with TrueChecks has been established3.
- Necessary databases can then be selected for searching when a check is scanned4.
- There are two databases that can be searched, either individually or together, depending on the TrueChecks configuration5.
- The configuration screen includes options to “Save” and “Refresh” settings6.
- The configuration also allows you to select “Use TrueChecks” and “Use EWS Deposit Chek”7.
3. Using TrueChecks with Teller Capture
- Once TrueChecks is activated, an additional section appears on the exception screen when a check is scanned through teller capture, indicating a database match8.
- Search Results: This section displays any matches found in the database and a recommended action9.
- Examples of recommended actions include “hold,” “extended hold,” or “deny”10.
- The search results will show the “Source” (e.g., TrueChecks), “Fraud Type” (e.g., UNKNOWN), and “Recommended Action” (e.g., Hold)11.
- Details: Users can click “Details” to get additional information about the search results12.
- Highlight the check source and click “Details”13.
- The “TrueChecks Detail” screen will show check information, maker information, dates, and any associated notes14.
- This information is for guidance in deciding on an action for the check15.
- The “TrueChecks Detail” screen includes:
- Check Info: Recommended Action, Fraud Type, Check Type161616161616161616.
- Maker Info: Maker Name, Maker Address171717171717171717.
- Dates: Created Date, Updated Date18181818.
- Notes: Information regarding reported items on the account and routing number, and advice to contact the maker for verification19.
- Actions on Checks: After TrueChecks returns a match, users have options to “Override” or “Deny Check”20.
- “Override” accepts the check, allowing the transaction to proceed21.
4. Fraud Inquiry
- Fraud Inquiry allows checks to be verified against the TrueChecks database without using Teller Capture22.
- It can be accessed under “Internal Audit” in the FLEX Main Menu23232323.
- Performing a Search:
- Enter the routing number, account number, check number, and amount242424.
- Click “Search”25.
- Search results and recommended actions will appear in the bottom panel26262626.
- Actions in Fraud Inquiry:
- Users can click “Details,” “Override,” or “Deny Check”272727.
- Overriding or denying a check creates a history record in Fraud Inquiry282828.
- If a check is denied or overridden, it will still appear in future search results if deposited later29.
- Details in Fraud Inquiry:
- Clicking “Details” provides additional information, including check information, maker information, created/updated dates, and associated notes30303030.
- This information is for decision-making regarding the check31313131.
5. Fraud Inquiry History
- FLEX tracks actions taken on checks that appear in the TrueChecks database3232.
- This history can be filtered and searched through the “History” tab in Fraud Inquiry33333333.
- Viewing History:
- Enter applicable filters (e.g., Amount Low/High)3434343434343434343434343434.
- Click “Run” to display results35353535.
- Viewing Check Images:
- Images of checks in the history can be viewed by highlighting a record and clicking “View Check”36. The Check Image screen allows printing and viewing the front/back of the check37.
6. Internal Check Maintenance
- In addition to the TrueChecks database, credit unions can maintain a manual list of fraudulent checks to be checked against during Teller Capture or Fraud Inquiry38.
- This list must be manually maintained39.
- Internal Check Maintenance is located under “Internal Audit” in the FLEX Main Menu40404040.
- Check Fraud Listing: This screen displays all checks entered by the credit union41.
- The listing includes: Routing Transit, Account Number, Entry Date, Notes, and Teller424242424242424242.
- Managing Records:
- Existing records can be edited or deleted by highlighting them and clicking “Edit” or “Delete”43.
- New records can be added by clicking “Add”44.
- Internal Check Verification: The “Activation” section includes a checkbox for “Use Internal Check Verification”45.
- Search Results from Internal Database: If a check is run through TrueChecks or Fraud Inquiry and is found in the Internal Check Maintenance database, the search results will indicate the source as “Internal Check”46464646. The recommended action may be “Deny,” and the fraud type “Internal Fraud Check”474747474747474747.
- Internal Check Detail: Additional information about an internal check can be viewed by clicking “Details”48.
- The “Internal Check Detail” screen shows: Recommended Action, Fraud Type, Date Entered, Teller, and Notes (e.g., “Stolen Check”)49494949.
- Overriding/Denying Internal Checks: Similar to TrueChecks results, users can override or deny checks with a recommended action from the internal database to proceed with the transaction50.
