Print Forms
This document provides comprehensive technical guidance for utilizing the “Print Forms” functionality within the FLEX system. It is designed for credit union users to effectively print various forms, including signature cards, address change forms, insurance forms, and loan forms.
1. Overview of Print Forms
“Print Forms” is a core feature within the FLEX system that enables credit unions to print any pre-defined forms. This functionality is crucial for generating physical copies of important documents.
1.1 Common Use Cases
- Printing signature cards.
- Generating address change forms.
- Producing insurance forms.
- Printing loan forms outside of the standard loan processing workflow.
2. Accessing Print Forms
The “Print Forms” feature can be accessed through multiple entry points within the FLEX Main Menu:
- Operations Menu: Located under the “Operations” section.
- Teller Menu: Accessible via the “Teller” section.
- Transaction Entry/Inquiry: Also available within the “Transaction Entry/Inquiry” interface.
3. Print Forms Interface
Upon accessing “Print Forms,” users will encounter a dedicated interface with several tabs and fields.
3.1 Forms Tab
This is the primary tab for selecting and configuring forms for printing.
3.1.1 Fields and Options
- Form:
- Purpose: Select the specific form to be printed from a dropdown list.
- Substitution Group:
- Purpose: Select a pre-defined form group.
- Configuration: Form Groups are configured under “Form Group Maintenance” and can include specific information such as credit union representative names, titles, and extensions to be automatically populated on the form.
- Print From File (Checkbox):
- Purpose: Check this box to enable the “File” field, allowing the inclusion of external files (e.g., credit union logo) on the printed form.
- Account/Suffix:
- Purpose: Enter the member’s account number and corresponding suffix for which the form is being printed.
- Application Number:
- Purpose: Enter the relevant loan application number, if the form pertains to a loan.
- Printer:
- Purpose: Select the desired printer for non-PDF forms.
- Note: If the selected form is a PDF, this field will be unavailable, and the form will automatically print to the Windows default printer.
- File:
- Purpose: This field becomes active when “Print From File” is checked. Use the “Browse” button to locate and select a file containing information (e.g., credit union logo) to be printed on the form.
- Display: Once a file is selected, its full path will be displayed in this field.
3.1.2 Form Details Section
- Purpose: After a form is selected, this section may display additional prompts that require user input based on the specific content and requirements of the chosen form.
3.2 Action Buttons
The “Print Forms” interface includes several action buttons:
- Clear:
- Purpose: Clears all entered information and selections on the current form.
- Print:
- Purpose: Initiates the printing process. After clicking, the “Print Options” screen will appear for final print settings.
- Print Blank:
- Purpose: Sends a blank copy of the selected form directly to the printer, bypassing any data entry.
- Add to Envelope:
- Purpose: Adds the current form to an eSignature envelope for electronic signature capture.
- Refresh:
- Purpose: Refreshes the interface, potentially clearing temporary data or updating available options.
4. Signature Capture Process
If the selected form requires signatures, the system will prompt the user for each individual signature.
4.1 Signature Capture Interface
- Signature Prompt: The system will clearly indicate which signature is currently required for each signature box.
- Signature Preview: Displays a preview area for the signature.
4.2 Signature Capture Options
- Capture Later:
- Purpose: Allows the user to defer the signature capture to a later time.
- Reference: For more information, refer to the “Capture Later” section in FLEX Academy.
- Skip Signature:
- Purpose: Skips the current requested signature, moving to the next signature requirement (if any).
- Skip Remaining:
- Purpose: Skips all remaining signature requirements for the form.
- Preview (Signature Capture):
- Purpose: Provides a preview of the signature capture.
- OK (Signature Capture):
- Purpose: Confirms the signature capture.
- Cancel (Signature Capture):
- Purpose: Cancels the signature capture process.
5. Print Options Screen
After clicking the “Print” button from the main “Print Forms” interface, the “Print Options” screen will appear.
5.1 Print Options Fields
- Printer:
- Purpose: Select the specific printer to which the form will be sent.
- Example: HP LaserJet 9050 PCL6 Class Driver.
- Number of Copies:
- Purpose: Specify the number of copies to print.
- Orientation:
- Purpose: Choose the page orientation (e.g., Portrait, Landscape).
- Fit To Margins:
- Purpose: Determine if the content should be adjusted to fit within the printer’s margins.
- Paper Size:
- Purpose: Select the desired paper size (e.g., Letter, Legal).
- Source:
- Purpose: Choose the paper source tray on the printer (e.g., Main, Tray 1).
- Duplexing:
- Purpose: Select the duplex printing option (e.g., Long-Edge, Short-Edge, None).
5.2 Print Options Actions
- Print (Print Options):
- Purpose: Confirms the selected print options and sends the form to the printer.
- Preview (Print Options):
- Purpose: Displays a preview of how the form will appear with the chosen print settings.
- Cancel (Print Options):
- Purpose: Closes the “Print Options” screen without printing.
6. Pending Tab
- Purpose: If the “Capture Later” button was used during signature collection, the form will be listed in the “Pending Tab.”
- Functionality: Signatures for these forms can be captured at a later time.

7. Envelope Tab
- Purpose: If the “Add to Envelope” button was used, the form will appear in the “Envelope Tab.”
- Functionality: Forms in this tab are designated for signature capture through the eSignature system.
