eReceipts
This document provides a comprehensive guide to the configuration and functionality of the eReceipts system within the FLEX Credit Union platform. eReceipts enable members to receive transaction receipts electronically via email, enhancing convenience and efficiency.
1. Overview of eReceipts
eReceipts facilitate the electronic delivery of transaction receipts to members’ email addresses. This feature requires specific configurations across multiple modules within the FLEX system to ensure proper functionality.
2. System Configuration Requirements
Before eReceipts can be sent, the system must be configured in the following areas:
- Email Configuration: This is a foundational setup.
- Action: Contact the PC/Web Department for assistance with Email Configuration Setup.
- Teller Configuration: Enables the eReceipts prompt during transaction posting.
- Action: Ensure the “Receipt Prompt” option is checked in Teller Configuration.
- Address Maintenance: Designates which member email addresses are eligible to receive eReceipts.
- Action: Configure member email addresses to receive receipts via email and set up Receipt Delivery.
3. Detailed Configuration Steps
3.1. Teller Configuration
To activate the eReceipts prompt for tellers:
- Navigate to Teller Configuration.
- Locate the “Receipt Prompt” setting.
- Check the box next to “Receipt Prompt.”
- Default Settings:
- “Print Receipt Default”
- “Print Balance Default”
- These settings will determine the default behavior for printing receipts and balances, but can be overridden during transaction posting.
3.2. Address Maintenance
To enable eReceipts for individual members:
- Email Address Configuration:
- In Address Maintenance, verify that the member’s email address is marked to receive receipts via email.
- If multiple email addresses are configured for receipts, the user will have the option to select the desired email address when posting the transaction.
- Receipt Delivery Setting (Miscellaneous Tab):
- Navigate to the Miscellaneous Tab within the member’s profile.
- Locate the “Receipt Delivery” field.
- Select one of the following options from the dropdown:
- “Print and Archive”: Receipt will physically print and be archived to Document Manager (unless otherwise specified at the time of posting).
- “Email and Archive”: Receipt will be emailed to the indicated email address and archived to Document Manager.
- “Archive Only”: Receipt will not be emailed or printed; it will only be archived to Document Manager.
4. Transaction Entry and Inquiry
Once the system is configured, the eReceipts functionality integrates into the transaction posting process:
- Receipt Options Prompt:
- After a transaction has been posted, a “Receipt Options” prompt will appear.
- This prompt displays the following options:
- Print Receipt (Yes/No, 1 Copy, 2 Copies, 3 Copies)
- Print Balance (Print Balance On All Receipts / Do Not Print Balance On Receipts)
- Email Receipt (Checkbox)
- Email Address (Pre-populated or selectable)
- Modifying Options:
- All options displayed in the “Receipt Options” prompt can be changed at this time, prior to completing the transaction.
- Email Address Override: An alternate email address can be entered directly into the email field, even if it has not been pre-configured in Address Maintenance. Configured email addresses will appear in a dropdown for selection.
- Troubleshooting: Missing Prompt:
- If the “Receipt Options” prompt does not appear, verify that the “Receipt Prompt” setting is enabled in Teller Configuration.
5. eReceipt Delivery and Format
Upon successful transaction posting, an eReceipt will be sent to the designated email address.
- Attachment Format: The receipt will be attached as a .pdf document.
- Email Body Customization: The body of the email can be configured by the credit union by providing FLEX with an HTML template.
- Encryption (Optional): eReceipts have the capability of being encrypted. If encrypted, the recipient will be required to enter the last four digits of their Social Security Number to open the attached PDF.

An eReceipt typically includes the following transaction details:
- Time of Transaction
- Date of Transaction
- Teller ID
- Receipt Number
- Member Name
- Account Number
- Transaction Description
- Transaction Type
- Transaction Code
- Beginning Balance
- Transaction Amount
- Ending Balance
- Available Balance
- Cash In/Out Details
- Check In/Out Details
- Coin In/Out Details
- Signature Line (if applicable)
