1. Introduction

ARS (Audio Response System) PIN Maintenance is a critical function within the FLEX system used to manage and change a member’s Personal Identification Number (PIN) for accessing the Audio Response System. This document outlines the steps and considerations for effectively utilizing this feature.

2. Accessing ARS PIN Maintenance

The ARS PIN Maintenance utility is located within the FLEX Main Menu.

3. Overview of the ARS PIN Maintenance Screen

Upon opening ARS PIN Maintenance, you will be presented with a screen that allows you to specify the account and view member details.

3.1 Initial Screen Elements

  • Account Field:
    • Purpose: Enter the member’s account number for whom the PIN needs to be maintained.
    • Action: Input the account number or use the dropdown to select an existing account.
  • Action Buttons:
    • Save: Commits any changes made to the member’s PIN.
    • Cancel: Discards any unsaved changes and closes the maintenance screen.
    • Refresh: Updates the screen with the latest information for the selected account.

4. Member Information Display

Once an account is entered, the screen will automatically display pertinent member information to assist in verification and maintenance.

4.1 Displayed Member Details

  • Account: The account number being maintained.
  • Name: The full name of the member associated with the account.
  • SSN: The Social Security Number (or Taxpayer Identification Number) of the member.
  • Certified: Indicates whether the member is certified (Yes/No).
  • Phone: The primary phone number of the member.
  • Member Addresses: A list of associated addresses, categorized by:
    • Address
    • Receipt
    • Statement
    • Tax
    • Card Statement
    • Card Issue
    • Physical Address

5. Personal Identification Number (PIN) Management

This section details how to set or change the member’s ARS PIN.

5.1 New PIN Field

  • Purpose: This field is used to enter the new four-digit PIN for the member.
  • Security Feature: For security purposes, the entered numbers will be displayed as dots (….) rather than the actual digits.
  • PIN Requirements:
    • Any four-digit number can be entered.
    • “Use last 4 digits of SSN/TID” Option: This checkbox allows you to automatically set the PIN to the last four digits of the member’s SSN/TID.
    • Using Four Zeroes (0000):
      • Entering 0000 is considered the most secure method.
      • Effect: This action will treat the account as a new ARS user.
      • Member Prompt: The next time the member calls into the Audio Response System, they will be prompted to enter their SSN and create their own new PIN.

6. Saving Changes

After making any modifications to the PIN, ensure you click the Save button to apply the changes to the system.
