User Defined Field Maintenance

User Defined Fields (UDFs) are customizable fields within the FLEX system that allow credit unions to store specific member information not covered by predefined FLEX fields. This document outlines the access methods and basic usage of the UDF Maintenance screen.

1. Introduction to User Defined Fields (UDFs)

  • Purpose: UDFs provide flexibility for credit unions to capture and store unique member data tailored to their specific operational needs.
  • Consistency: Regardless of the access method, the UDF Maintenance screen’s layout and functionality remain consistent throughout the FLEX system.

2. Accessing User Defined Field Maintenance

UDF Maintenance can be accessed through multiple pathways within the FLEX system:

2.1. From the FLEX Main Menu

The primary method for accessing UDF Maintenance is via the main menu navigation:

  • Navigate to Teller.
  • Select Teller Maintenance.
  • Choose User Defined Field Maintenance from the list.

2.2. From a Member’s Account (Transaction Entry/Inquiry)

When viewing a member’s account in Transaction Entry/Inquiry, UDF Maintenance can be accessed as follows:

  • Through the Inquiry drop-down menu.
  • By using the F22 shortcut key.

2.3. From Share and/or Loan Suffixes

For UDFs specific to shares or loans, access is available directly from the suffix detail:

  • Right-click on the desired share or loan suffix.
  • Select User Defined Fields from the context menu. This option is also associated with the F22 shortcut.

3. The User Defined Field Maintenance Screen

The UDF Maintenance screen provides a structured interface for viewing and editing UDFs.

3.1. Screen Layout

The screen typically displays the following columns:

  • Index: A numerical identifier for the UDF.
  • Description: A label indicating the purpose or content of the UDF (e.g., “Promotional Code:”, “Third Party?”, “Color of Vehicle”).
  • Value: The field where the actual information for the UDF is entered or displayed.

3.2. Adding/Editing Information in a UDF

To input or modify data within a User Defined Field:

  • Double-click on the Value field corresponding to the UDF you wish to update.
  • Key in the required information into the activated field.

4. Example UDFs

The following are examples of User Defined Fields that may be configured within the FLEX system:

  • Promotional Code: Used to track specific marketing or promotional campaigns associated with a member.
  • Third Party?: A boolean or categorical field to indicate if a third party is involved with the member’s account.
  • Color of Vehicle: A text field to record the color of a member’s vehicle, potentially for loan collateral or other specific purposes.
