Transaction History

This document provides a comprehensive guide to the Transaction History feature within the Flex system, designed to assist users in navigating and utilizing its functionalities effectively.

1. Accessing Transaction History

Transaction History can be accessed through two primary methods within the Flex system:

  • Right-Click Option:
    • Right-click on any suffix in “Transaction Entry/Inquiry.”
    • Select “History” from the displayed context menu.
    • The transaction history for the selected suffix will appear in the bottom panel of the screen.
  • Double-Click Option:
    • Double-click on any suffix to directly view its history.

2. Default View and Customization

Upon displaying Transaction History:

  • The default suffix selected will be displayed.
  • The system defaults to showing transactions for the “Last 5 Months.”
  • These time frame options can be adjusted at any time.

3. Key Features and Options

The Transaction History interface offers several features and options for filtering, viewing, and managing transaction data:

3.1. Max Rows

  • Purpose: Indicates the maximum number of rows to display, regardless of the amount of history selected.
  • Note: Displaying an excessive amount of history may lead to a decrease in loading speed.

3.2. Overdraft Inquiry

  • Purpose: Displays “Overdraft Details” if applicable.
  • Details Provided:
    • Last time history shows an overdraft.
    • Date and time of the overdraft.
    • All additional posting information.
    • Indication if the item had an override and was paid or returned.
    • Corresponding message related to the overdraft.

3.3. Filter

  • Purpose: Allows users to filter specific transactions based on various fields.
  • Filterable Fields:
    • Amount
    • Transaction Codes
    • Branches
    • Tellers
    • Date Range (From/To)
    • Reference/Check # Range (From/To)
    • Amount Range (From/To)
    • Debit/Credit
    • Show Only Interest Exempt
    • IRA Code
    • Operation Codes / Type

3.4. Print All Checks

  • Purpose: Prints images of all cleared or deposited checks within the currently displayed timeframe.
  • Availability:
    • Images are only available if allowed and set up through the check processor.
    • Option to print images for deposited checks is only available for credit unions utilizing “FLEX Check 21 Teller Capture.”

4. Transaction History Views

Three different views are available by clicking on the tabs in the top left corner of the history panel. Additional tabs may also be available for specific account types (e.g., IRA, Escrow, Mortgage Loans). Users can customize the columns that appear for each tab.

4.1. Default History View 1

This view provides core transaction details:

  • Effective Date: Date transaction is effective (may differ from actual posting date).
  • Actual Date: Date transaction was actually posted (may differ from effective date).
  • Ref #: Reference number of the transaction (e.g., receipt number for teller transactions, batch number for batch processing).
  • Check #: Draft number for cleared share drafts or check number for check withdrawals.
  • Description: Transaction description (keyed by teller or defaulted by transaction code).
  • TC: Transaction code used.
  • Tran Amount: Total dollar amount of the transaction.
  • Balance After: Suffix balance after the transaction.
  • Interest / Late Charge: For loan transactions, amount applied to interest or late charges (late charges listed separately).
  • Branch: Branch code where the transaction posted (if multiple branches defined).
  • Teller: Teller ID who performed the transaction.
    • Numeric Teller ID: Indicates an actual teller.
    • Alpha Teller ID: Indicates system-generated transaction (e.g., SD for share draft processing, AC for ACH processing, AT for ATM postings).
  • Xnft: Sequential reference number for statement purposes.

4.2. Default History View 2

This view includes additional details, with definitions only for columns that differ from View 1:

  • Location: For electronic transactions, displays location, originator, or additional descriptions.
  • IRA Escrow: Displays reporting code tied to the transaction for IRA, Health Savings, or Escrow accounts.
  • Balance Before: Account balance prior to the transaction posting.

4.3. Default History View 3

This view provides insights into balance changes due to holds and pledges:

  • Activation: Must be enabled in “Features.”
  • Functionality: Reflects balance changes when holds are placed and removed.
  • Holds/Pledges/Adjustments: Displays holds, pledges, and adjustments as they are added or deleted. This is an optional feature that works in conjunction with the “Available After” column.
  • Available After: Displays the available balance after a hold or pledge has been applied.
  • Note: Records in this view display in Tab 3 on the system but do not appear on the member’s statement.

5. Transaction History Right-Click Options

Right-clicking on any transaction record reveals a panel with additional options for viewing detailed transaction information:

  • Help: Allows users to view Flex help documentation for the selected record.
  • Disbursement Detail:
    • Applicability: If viewing transaction history on a loan suffix.
    • Functionality: Displays how loan proceeds were disbursed, including:
      • Checks issued.
      • Transfers to share accounts.
      • Transfers to general ledger accounts.
      • Transfers to loan accounts.
  • Overdraft Inquiry: Displays items posted due to overdrafting.
  • Print Deposited Checks: Automatically prints images of all deposited checks within the filtered timeframe (requires “FLEX Check 21 Teller Capture”).
  • Print Cleared Checks: Automatically prints images of all cleared checks within the filtered timeframe (requires share draft processor allowance).
  • Reference # Detail: Displays detailed information for a reference number, including:
    • Debits and credits.
    • Cash and checks into the drawer.
    • Cash denominations in and out (if configured).
    • Image of deposited checks (if Check 21 Teller Capture is used).
  • Reverse:
    • Applicability: Only on mortgage loan suffixes.
    • Functionality: Allows the teller to reverse a previously made loan payment.
  • Transaction Detail: Displays all aspects of transaction detail, including:
    • Account information.
    • Pre-transaction information (helpful for reversing loan payments).
    • Transaction information.
    • For electronic transactions: description, date, time, and location.
  • View Check Image: Displays the front and back image of a draft received and posted with the “Share Draft Posting” program (if available).
  • View Check in Document Manager: Displays the front and back image of a draft through “Document Manager.”
  • Import Images: Allows users to import an image and link it to a transaction (useful for receipts received later, e.g., drive-thru).
  • View Imported in Document Manager: Displays “Document Manager” and allows users to view imported images.
  • View Receipt: Displays an archived copy of the transaction receipt stored in “Document Manager.”
