Remote Deposit Capture

This document provides comprehensive technical guidance for utilizing the Remote Deposit Capture (RDC) feature within the FLEX system. RDC allows credit union members to conveniently deposit checks using their smartphones or tablets.

1. Overview of Remote Deposit Capture (RDC)

Remote Deposit Capture (RDC) is a mobile banking feature that enables credit union members to deposit checks by capturing images of the front and back of the checks using a smart device.

1.1 Key Features

  • Mobile Accessibility: Deposits can be made via smartphone or tablet.
  • Image Capture: Members capture images of both sides of the check.
  • Configurable Holds: Credit unions can define the amount to be released until funds are verified.
  • Real-time Crediting: Checks are immediately credited to the member’s account, subject to any applicable holds.
  • Detailed History: RDC transactions are recorded in member history as “RDC CK#” and post as “Teller FTRD”.
  • Image Viewing: Check images are viewable through member history in FLEX and internet banking.

2. Requirements for RDC Usage

To utilize the RDC feature, the following requirements must be met:

  • FLEX Mobile App: The member must have the official FLEX Mobile App installed.
  • Smart Device: A smartphone or tablet equipped with a rear-facing camera.
  • App Installation Capability: Ability to load applications from iTunes (Apple App Store) or Google Play Store.

3. FLEXTeller User Maintenance Configuration

Before a member can use RDC, their account must be configured within FLEXTeller User Maintenance.

3.1 Enabling Deposits for a Member

  1. Navigate to the FLEXTeller Account Settings screen.
  2. Under FLEXTeller Deposit Information, locate the Allow Deposits field.
  3. Set the Allow Deposits field to Yes.
  • Note: If a member is not configured to allow online deposits, they will receive an error message prompting them to contact the credit union.

4. Member Process for Remote Deposit Capture

The following steps outline the process for a member to make a remote deposit:

4.1 Initiating a Deposit

  1. Access their account using the FLEX Mobile App on a smartphone or tablet.
  2. From the main menu, select Deposit.
  3. On the Deposit Menu, choose between:
    • Deposit a check: To initiate a new deposit.
    • Review Past Deposits: To view previous RDC transactions.

4.2 Deposit Instructions and Details

  1. After selecting “Deposit a check,” a Deposit Instructions window will display.
    • These instructions are configurable by the credit union and typically include:
      • Ensuring proper check endorsement (e.g., “For Remote Deposit, Account # [Member’s Account Number]”).
      • Placing the check on a dark background.
      • Ensuring good lighting.
      • Verifying the check is the only item visible in the photo, with all edges clearly seen.
      • Confirming the check has not been previously deposited.
      • Advising the member to retain a copy of the original check for 10 days before destruction.
  2. Tap Got It! to proceed.
  3. On the Deposit screen, the member will:
    • Select the Suffix for the account where the deposit will be made.
    • Enter the Amount of the deposit.
    • Select Take Picture for both Check Front and Check Back.

4.3 Capturing Check Images

  1. The device’s camera will activate, prompting the member to align the check within the on-screen boundaries.
  2. After capturing an image:
    • If the image is clear and correctly aligned, tap Use to continue.
    • If the image is blurry or misaligned, tap Retake to capture another photo.
  3. Repeat the process for both the front and back of the check.

4.4 Review and Submission

  1. After both images are captured, the member will see a summary displaying:
    • The captured images of the check.
    • The selected suffix and entered amount.
    • The Deposit Disclaimer.
    • Note: The system will automatically crop the background from the check images for the credit union’s copy.
  2. Review all information carefully.
  3. Tap Deposit to complete the request.
    • Important: Submitting the check for deposit signifies agreement to the Deposit Disclaimer.

4.5 Deposit Confirmation

  • Upon successful submission, the member will receive a notification confirming that their check has been submitted for deposit.
  • If a hold is placed on the check, the notification will also inform the member of the held amount.

5. Credit Union Process for RDC Review

All checks deposited via RDC must be reviewed by the credit union.

5.1 Accessing RDC Checks for Review

  1. Navigate to the Check 21 Processing menu.
  2. Select the Remote Capture tab.
    • Note: The Remote Deposit Capture tab must be enabled in preferences on each PC requiring access.
  3. Checks are received immediately upon submission and can be reviewed at any time.

5.2 Reviewing Individual Checks

  1. From the Remote Capture tab, select the check to be reviewed.
  2. View the check’s front and back images.
  3. Verify that all check information (e.g., amount, account, suffix, reference number, dates) is correct.

5.3 Processing Accepted Checks

  • Accepted checks are automatically moved from the Remote Capture tab to the Cash Letter tab.
  • RDC checks are identified in the Cash Letter tab with a batch ID of RDeposit.
  • Standard Cash Letter functionality remains available for these checks.

5.4 Handling Rejected Checks

  1. If a check is rejected, the system will prompt for Reject Check Options.
  2. The credit union can select a Reason for rejection from a predefined list, including:
    • Amount Discrepancy
    • Amount Exceeds Check Limit
    • Discrepancies – Deposit at physical location
    • Invalid Endorsement
    • Max Daily Amount Exceeded
    • Poor Image Quality
    • Post Dated Check
    • Stale Dated Check
  3. Select a Redeposit Option:
    • Allow redeposit
    • Allow redeposit at credit union
    • Do not allow redeposit
  4. Optional: If configured, an email can be sent to the member to notify them of the rejection reason and redeposit options.
