FLEX Photo ID Documentation
This document provides technical guidance and operational procedures for the FLEX Photo ID module within the www.flexcutech.com system. This module is an optional feature designed to enhance member identification and security by allowing credit unions to store and display images of member identification documents.
1. Overview
The FLEX Photo ID module facilitates the storage and retrieval of member identification images. These images are displayed directly within the Transaction Entry/Inquiry screen, enabling users to quickly and accurately identify members when their accounts are accessed.
2. Key Features
- Supported File Types: FLEX Photo ID supports .jpg, .jpeg, .png, .tif, and .gif image formats.
- Image Storage: Store one or more images of a member’s identification.
- Real-time Display: Images are automatically displayed upon member account retrieval in Transaction Entry/Inquiry.
- Centralized Storage: Images are stored by the member’s Social Security Number (SSN).
- Multi-Account Linkage: A single scanned Photo ID automatically attaches to all associated accounts for a member (primary or joint).
- Image Management:
- Scanning new images.
- Uploading existing images.
- Editing stored images (cropping, rotating).
- Resizing images to original dimensions.
- Deleting images.
- Printing images.
- Selecting and configuring scanners.
- Image Reassignment: Reassign images to different related or unrelated members.
- Image Resequencing: Reorder multiple images for a single member to control which image appears by default.
- Expiration Date Tracking: Record and receive warnings for expired Photo IDs.
3. Accessing and Managing Photo IDs
To access and manage member Photo IDs:
- Retrieve Member Account: Navigate to the Transaction Entry/Inquiry screen and retrieve the desired member’s account.
- Access Photo ID Interface:
- If an image is already stored, it will appear.
- If no image is scanned, a ghost-like image will be displayed.
- Double-click on the displayed image (or ghost image) to open the Photo ID management pop-up.
4. Photo ID Management Functions
The Photo ID management pop-up provides several tools for handling images:
4.1. Image Navigation (for Multiple Images)
- Arrows: If multiple images are stored for a member, use the navigation arrows to cycle between them.
4.2. Image Operations
- Resize Image (1:1 Icon): Click this icon to resize the currently displayed image to its original scanned or uploaded dimensions.
- Scan New Image:
- Click the Scan icon (looks like a scanner).
- Depending on your scanner’s preferences, you may be prompted to verify settings such as size, color, and scale before the scan initiates.
- Upload New Image:
- Click the Upload icon (looks like an upward arrow).
- This option is used for images that have already been scanned and saved externally.
- Delete Image: Click the Delete icon (looks like a trash can) to remove the currently displayed image.
- Print Image: Click the Print icon (looks like a printer) to print the current image.
- Select Scanners: Click the Scanner Selection icon (looks like a wrench over a scanner) to configure or select available scanners.
4.3. Image Modification (within the Image Editor)
Once an image has been scanned or uploaded, you can modify it using the following options:
- Save Changes: Click Save Changes to apply any modifications made to the image. This must be clicked even if no changes were explicitly made but you wish to confirm.
- Cancel: Click Cancel to discard any unsaved changes and exit the modification mode.
- Zoom To Fit Screen: Check this box to automatically scale the image to fit the screen display area.
- Crop: Click Crop to activate the cropping tool, allowing you to select and trim parts of the image.
- Rotate: Click Rotate to rotate the image clockwise.
4.4. Image Ownership and Sequencing
- Change Owner:
- Click the Change Owner button to reassign an image to a different member. This is useful if an image was incorrectly scanned for the wrong account owner.
- Reassign To Related: Select this option if the new owner is a related member (e.g., a joint account holder). A drop-down list will display all owners related to the current account.
- Reassign To Unrelated: Select this option if the new owner is not related to the current account. You will need to enter the account number of the target member.
- Resequence Images:
- If a member has multiple Photo IDs stored, the most recently uploaded image will appear by default.
- To change the default image or the order of images, click the Resequence button.
- In the “Resequence Images” pop-up, click and drag the images to arrange them in the desired order. The image at the top of the list will be the one displayed when the member’s account is retrieved.
4.5. Expiration Date
- Expiration Date Field: Enter the expiration date for the Photo ID, if applicable.
- Expiration Warning: If the entered expiration date is in the past, the system will display a warning indicating that the image is expired and an updated Photo ID is required.

- Confidentiality: This document and the FLEX Photo ID module are intended solely for contracted clients of Computer Marketing Corporation/FLEX. Unauthorized dissemination, distribution, or copying is strictly prohibited.
