Credit Card Delinquent Notice Maintenance
1. Introduction
The Credit Card Delinquent Notice Maintenance program within the FLEX system is designed to define and manage the standard system-generated delinquent notices specifically for credit card loans. This program allows for the configuration of up to nine delinquency “brackets,” each with customizable verbiage, to ensure timely and appropriate communication with delinquent borrowers.
2. Purpose
The Credit Card Delinquent Notice Maintenance program enables credit unions to:
- Define standard system-generated delinquent notices for credit card loans.
- Configure up to nine distinct delinquency brackets, each with custom verbiage.
- Automatically generate notices as soon as a credit card loan meets the defined bracket parameters.
- Reset the delinquency bracket for a loan if it becomes current and then delinquent again.
3. Accessing Credit Card Delinquent Notice Maintenance
Credit Card Delinquent Notice Maintenance is located under the Collections Configuration in the FLEX Main Menu:
- Navigate to Collections.
- Expand Configuration.
- Select Credit Card Delinquent Notice Maintenance.
4. Credit Card Delinquent Notice Maintenance Screen Overview
The main screen displays the configured delinquency brackets and general settings.
4.1. General Actions
- Save: Saves any changes made to the configuration.
- Edit: Allows editing of the selected bracket parameters.
4.2. Additional Notice Designation
- Additional Notice Designation: This field allows you to designate how an additional notice should be titled if required.
4.3. Bracket Parameters
This section defines the delinquency levels and associated notice generation rules. Up to 9 brackets can be defined.
- Bracket: Indicates the level of delinquency (1 through 9). Not all brackets need to be used.
- From Day/To Day: Specifies the range of days delinquent a loan must be for a notice of that bracket to be generated.
- Print: If checked, notices for that specific bracket will be generated. If a bracket is not in use, this checkbox can be unchecked.
- Repeat: If checked, notices for this bracket can be reprinted.
- Comaker: If checked, and a co-maker is associated with the delinquent loan, an additional notice will be generated for the co-maker. This will not occur if the flag to issue notices to the co-maker has been unchecked in the Co-Borrowers section of Collateral Maintenance.
4.4. Editing a Notice Bracket
To edit the parameters for a specific bracket:
- Highlight the desired bracket in the “Bracket Parameters” list.
- Click the Edit button.
The “Edit Notice Bracket” screen will appear, allowing for detailed configuration:
- Bracket: Indicates the bracket level being edited.
- From/To: Indicates the number of days delinquent the loan must be for the notice of that bracket to be generated.
- Print: If checked, notices for that bracket will generate.
- Repeat: If checked, the notice can be reprinted for this bracket.
- Comaker: If checked, an additional notice will generate for the co-maker (subject to the flag in Collateral Maintenance).
- Notice Printer: (Field for printer selection, not detailed in the provided document).
- Update Notice Pointer:
- The “Notice pointer” indicates the last notice sent to a member.
- When changes are made to any brackets, the pointer is automatically reset, which will cause a new notice for the changed bracket to be generated.
- Uncheck this box if notices should not be regenerated for loans that have already received the notice.
- Delinquency Message:
- Up to three lines are available to input the custom verbiage that will appear on the delinquent notice for the bracket level being viewed or edited.
- In addition to this verbiage, the member’s name, address, and relevant loan information will automatically appear on the notice.
5. Generating Delinquent Notices
Delinquent notices can be generated through the “Print Delinquent Notices” option. While often set up to run automatically as part of Daily Procedures, this option is also available from the reports menu for on-demand generation.
5.1. Accessing Print Delinquent Notices
- From the FLEX Main Menu:
- Collections > Reports > Print Delinquent Notices
- Reports > Collections Reports > Print Delinquent Notices
- System Administration > Notices > Print Delinquent Notices
5.2. Print Delinquent Notices Screen
On this screen, you can define criteria for printing notices:
- Print Order: Indicate the sort order of notices (account or name order).
- Display Total Line: Indicates if a “Total” line should appear on the delinquent notice.
- Pymt Method/Days Delinquent: Indicates if the payment method or number of days delinquent should appear on the notice.
- Branch: Indicates if all delinquent notices should be generated, or only notices for a selected branch.
- Repeat Today’s Notices?: Indicates if notices already generated today should be repeated. This can be necessary for troubleshooting (e.g., printer jam, misplaced notices).
6. Example Delinquent Notice
The documentation includes an example of a system-generated delinquent notice, illustrating the layout and content, including:
- Account number and date.
- Delinquency message.
- Member’s name and address.
- Loan details (Days Delq / Officer, Payment Frequency, Current Loan Balance, Unpaid Late Fees).
- Payment summary (Amt Now Due, Next Payment, Total).
