Collection Reports

1. Introduction

The FLEX system provides a wide array of Collection Reports, accessible directly from the FLEX Main Menu. These reports enable users to generate on-demand insights into various aspects of delinquent accounts and collection activities, aiding in effective portfolio management and strategic decision-making.

2. Accessing Collection Reports

Collection Reports are available under the Collections and Reports category in the FLEX Main Menu.

3. Available Collection Reports

The FLEX system offers the following specialized collection reports:

3.1. Bankruptcy Report

This report lists accounts that have been entered into the Bankruptcy and Legal Information menu option.

  • Included Fields: Account/suffix, member name, loan type, bankruptcy chapter, balance at time of filing, date bankruptcy filed, meeting date, proof of claim, reaffirm date, last payment, bankruptcy case number, attorney name and phone number, trustee name and phone number.

3.2. Charged Off Accounts

This report allows users to create a list of charged off accounts based on defined criteria.

  • User Prompts: Starting/ending charge off date, include resolved items, sort order, and whether to include loans, shares, or both.

3.3. Charged Off Analysis

This is a multifaceted report providing an analysis of charged off items.

  • Section 1: Charged Off Loans by Interest Rate:
    • Sort Order: Low to high interest rate.
    • Included Fields: Annual interest rate, 365 daily factor, count, count percent of total, amount, amount percent of total, and average balance.
  • Section 2: Charged Off Dollar Analysis:
    • Included Fields: Multiple balance ranges, count, count percent of total, amount, amount percent of total, and average balance.
    • Subtotals: Breakdown of loans $10,000 and under, loans in excess of $10,000, loans $15,000 and under, and loans in excess of $15,000.
  • Section 3: Summary of Charged Off Accounts by Suffix:
    • Included Fields: Suffix number, total accounts, and total loan balance.

3.4. Charged Off Total Listing

This report generates a listing of charged off loans sorted by social security number.

  • Included Fields: Social security number reported, sequence number, member name, charge off date, charge off teller, charge off code, status (R=resolved), current amount, and original amount.
  • Summary at End: Count, current amount, and original amount for total charge offs, active charge offs, and resolved charge offs.

3.5. Charged Off Transaction Listing

This report lists accounts that have had transactions and are flagged as Charged Off.

  • Included Fields: Account number, teller, transaction code, transaction date, effective date, transaction amount, receipt number, transaction description, loan type, purpose code, security code, branch code, and member name.

3.6. Collection Code Listing

This report generates a list of collection codes used.

  • Filtering Options: Specific account, date range, or code can be entered.
  • Included Fields: Account number, suffix, member name, code, collection actions taken, amount delinquent, and date occurred.

3.7. Collection Notes Listing

This report generates a list of collection notes entered based on a date range.

  • Filtering Options: An account number range can also be entered.
  • Included Fields: Account number, note, and changed date.

3.8. Collections Call Back Report

This report generates a list of accounts with call back dates based on selected criteria.

  • Included Fields: Account number, member name, gender, birth date, social security number, call back date, current balance, last transaction date, collection officer, due date, and security code.

3.9. Delinquent Loan Analysis by Officer

This report analyzes delinquent loans by officer based on a minimum number of days delinquent.

  • Included Fields: Officer, loan count, percentage of count, original loan amount, percentage of amount, current loan amount, percentage of amount, delinquent count, percentage of count, delinquent loan balance, and percentage of delinquent.

3.10. Delinquent Notices

This option is used to create delinquent notices. While commonly run through Daily Procedures, it is available from the reports menu for on-demand generation.

3.11. Entry Code Report

This report provides a list of accounts that have a specific entry code.

  • Included Fields: Account, suffix, and current delinquent amount.

3.12. Loan Delinquency Report

This comprehensive report allows users to generate a delinquency report based on various defined criteria. Note that due to many fields, the report can be lengthy.

  • Use End of Month Data:
    • Y: Report uses data from the last end of month.
    • N: Report uses data as of the time of generation.
  • Minimum Days Delinquent: Specifies the minimum number of days a loan must be delinquent to be included.
  • Report Type: Indicates the type of output generated. Each option (except “No Detail”) includes: Account/suffix, next payment due date, number of days/months/payments delinquent, loan type, delinquent amount, current balance, payment amount, security code, purpose code, payment frequency, payment method, last payment date, and credit score.
    • Abbreviated: Adds member name and interest due.
    • Full: Adds partial payment, interest due, and loan interest rate.
    • Aged: Adds member name, original balance, and all three delinquent period counts (days, months, and payments).
    • No Detail: Provides a summary page of delinquency totals (counts and balances) for each defined category.
  • Periods in Days, Months or Payments: For “Abbreviated” or “Full” reports, select which count to display: “Days,” “Months,” or “Payments” delinquent.
  • Share Detail: Adds additional information to the standard output.
    • All: Adds member name, home phone, base share information, and additional lines for each share suffix (including balance) on the same account. This can make the report lengthy.
    • Single: Adds one additional line for member name, home phone, and base share information.
    • No Shares: Adds no additional share-related information.
  • Credit Score Source: Indicates whether the credit score from the loan record (used at disbursement) or the member record (most recent) should be used.
  • Display Interest Due/Original Balance: Indicates if these fields should appear on the report (only for “Abbreviated” and “Full” versions).
  • Sort Order: Defines the order of information in each detail section.
  • Delinquency Category in Days 1-6: Up to six categories can be defined by days delinquent. The report will break and total when a new category is reached.
  • Sort Code 1-3: Up to three sort codes can be defined for detail information sorting.
  • Branch Code: Enter a branch ID to generate a delinquency report for a specific branch.
  • Print Category Summary: If selected, a one-page summary will print at the end, including category breaks, delinquent count, current balance, delinquent amount, interest due, and grand totals.
  • Print Loan Officer Summary: If selected, a summary by loan officer will print at the end, including loan officer, delinquent count, percentage of total delinquency, current loan balance, percentage of total current balances, delinquent amount, percentage of total delinquent amount, interest due, and percentage of total interest due.
  • Print Periods Summary: If selected, a summary for each delinquent period will print (based on the “Period in Days/Months/Payments” field), including count, percentages, balances, and interest due.
  • Print Interest GL Summary: If selected, a summary for each interest income GL will print, including delinquent count, percentages, balances, and interest due.
  • Print Member Branch Summary: If selected, a summary of delinquent loans by branch will print, including branch ID, delinquent count, current delinquent loan balance, current delinquent amount, and total interest due.
  • Include/Exclude Types: Use to include or exclude specific loan types (up to ten).
  • Loan Type 1-10: List up to ten loan types to include or exclude based on the above condition.
  • Effective Date Forward: Allows running the report ahead of the current date, assuming no payments will be made.
  • Base Share Selection: Used with the “Share Detail” option. Determines the base share suffix (typically 001).

3.13. Loan Officer Report

This report generates a list of the number of loans by loan officer based on minimum days delinquent.

  • Included Fields: Loan officer, count, loan original balance, delinquent count, delinquent original balance, amount delinquent, and percent.

3.14. Notes on Delinquent Loans

This report generates a list of delinquent loans along with their collection notes based on entered criteria.

  • Included Fields: Account/suffix, member name, next payment due date, number of days delinquent, number of times delinquent (30, 60, 90, and 120 days), and all collection notes attached to the loan.
  • Optional Fields: Address, home phone, and work phone can be included if selected in the prompt screen.

3.15. Overdrawn Shares Trial Balance

This report generates a list of overdrawn shares based on selected criteria.

  • Included Fields: Account/suffix, share type, branch code, member name, number of days overdrawn, current balance, available balance, base share account balance, courtesy pay flag (Y/N), courtesy pay amount, last transaction date, and total fees collected.

3.16. Schedule of Delinquent Loans

This report generates a detailed list of delinquent loans, sorted by loan type, and includes a partial line of the collection note.

  • Sort Order: Loan type, then alphabetical by last name, with subtotals at the end of each type and category columns indicating delinquent periods (2-6 months, 6-12 months, and 12 months and over).
  • Included Fields: Type, account/suffix, member name, date of loan, original balance, current balance under the applicable delinquent category, last activity date, and a partial line of the collection note (if applicable).

3.17. Today’s Payments to Delinquent Loans

This report generates a list, sorted by account, of payments made to delinquent loans based on the minimum number of days delinquent entered.

  • Included Fields: Account/suffix, member name, previous due date, days delinquent, delinquent amount, payment amount, scheduled payment amount, next payment due date, payment frequency, current days delinquent, current loan balance, and member phone number.
