This document outlines the functionalities and key changes in FLEX Ten for managing automatic transfers and check disbursements, drawing directly from the “FLEX Ten Auto Transfers and Check Disbursements.mp4” webinar.

1. Accessing Auto Transfers and Check Disbursements

To access these features in FLEX Ten:

  • From your Main Menu.
  • Navigate to the Operations folder.
  • Select the Transfers folder.
  • You will find two distinct menu options: Automatic Transfer Maintenance and Check Disbursements. This separation is a change from the previous Juice system.

2. Automatic Transfer Maintenance

The Automatic Transfer Maintenance section has undergone significant changes in FLEX Ten compared to Juice.

2.1 List View and Navigation

  • Main Panel Display: Unlike Juice, where you first selected an account and then listed transfers, FLEX Ten automatically displays all currently set up auto transfers in the main panel.
  • Filter Option: On the side, a filter option allows you to narrow down the view by:
    • Next run
    • Last run
    • Frequencies
  • Table Customization: Consistent with other FLEX Ten features, you have options to:
    • Export the table.
    • Deselect or select columns you wish to use.
    • Arrange columns to eliminate “noise” and customize your view.
    • Note: To export, you must first provide a file name.

2.2 Adding a New Automatic Transfer

  • Click the “plus” option (likely indicated by a + symbol) on the page to add a new auto transfer.
  • Required Fields: Items requiring input are marked with an asterisk (*) at the end.
  • Missing Item Indicator: A new yield sign (likely an exclamation mark in a triangle) at the bottom will alert you to any missing required items before the Save button becomes available.

2.3 Posting Log (History)

  • When you select an account from the main panel, a posting log will appear.
  • This posting log functions as the posting history, similar to what was available in Juice.
  • Improved Filtering: Unlike Juice, where all history for all accounts was displayed together, FLEX Ten provides an option to filter out unwanted information.

2.4 Work-in-Progress Features

  • The Audit button, which was present in Juice, is currently missing in FLEX Ten’s Automatic Transfer Maintenance and is a work in progress being brought over.

2.5 Worksheet and Posting Generation

  • Worksheet Button: You can access the worksheet button to generate a worksheet.
    • Effective Date: Select the desired effective date.
    • Posting Group: Choose a posting group (e.g., loan).
    • Click Generate.
  • Accessing Generated Worksheets/Postings:
    • Unlike Juice, where a pop-up would appear, generated worksheets and postings are now found in the Notifications button at the top of the screen.
    • Click on the Notifications button (likely represented by an “I” or bell icon).
    • Go to your Jobs section.
    • From here, you can display the worksheet.
    • Clicking “viewpoint preview” will populate the generated worksheet.
  • Posting Generation Details:
    • If you do not click the “print preview” button, only one posting item will be generated.
    • If you do click the “print preview” button, two posting items will be generated.
    • The system will notify you when the automatic worksheet has been completed.
    • You can access both the worksheet and the posting right after it via the Notifications/Jobs section.
  • Teller Workflow Improvement: This notification system is particularly useful for tellers, allowing them to verify if postings have been completed by others, eliminating guesswork regarding daily posting status.
  • Scripting Suggestion: It is highly recommended to script your posting process if it’s not already, and the sheriff’s team can assist with this.

3. Check Disbursements

The Check Disbursements section shares a similar interface with Automatic Transfer Maintenance.

3.1 Access and Interface

  • Navigate via: Operations tab > Transfers > Check Disbursements.
  • Similar Layout: The page visually resembles the Automatic Transfer Maintenance screen.
  • Missing Features: Similar to auto transfers, the Audit button is currently missing but is expected to be implemented later. The Worksheet button is not available for check disbursements, but posting is available.
  • Searching: You can search for accounts by name or account number, similar to the Teller screen.
  • Table Options: The export table and filter option functionalities are also available here.

3.2 Adding a New Check Disbursement

  • Click the “plus” sign to add a new check disbursement.
  • Missing Item Indicator: The yield sign functionality carries over, notifying you of any missing required items.

3.3 Posting Check Disbursements

  • You can run a posting for check disbursements.
  • Upon completion, a green sign (likely an indicator like a checkmark) will appear, and the completion will be recorded in the Notifications section.

4. Reports

FLEX Ten provides dedicated reports for transfers and check disbursements.

4.1 Accessing Reports

  • From the Main Menu.
  • Select Reports.
  • Scroll to the bottom to find the Transfers folder.

4.2 Available Reports

  • The primary reports available for this training are:
    • Check Disbursement Detail Listing
    • Transfer File Listing

4.3 Managing Reports

  • Adding to Favorites: You can add reports to your favorites for quick access by clicking the star icon next to the report name. This creates a replica in your favorites section.
  • Processing Reports: Once a report is selected, hit Process to generate it.
  • Archiving Reports: To archive a report, you must first click on it for the archive button to display.
  • Download/Print: You have the option to download or print generated reports.
